Who we are
Luggage Logger is built and operated by Thomas Williams, based in the United Kingdom (“we”, “us”). We are the data controller for the personal data described in this policy. You can reach us any time at luggagelogger@gmail.com.
Luggage Logger helps touring professionals and travellers track equipment across multi-stop trips. This policy explains what we collect, why, where it lives, who can see it, and how to get rid of it.
What we collect
Account details. Your email address, a display name you choose, and a password (stored only as a secure hash by our authentication provider — we never see or store your actual password).
Content you create. Your inventory (assets, cases, packs) including names, descriptions, weights, values, and photos you take or attach; trips, stops, schedules, and notes; documents and attachments you upload to an organisation; and logging activity (which bags were scanned where and when).
Sensitive content is yours to add — and to protect. Some users photograph items like airline bag tags (which can show a name, address, or phone number) or travel documents. We treat all photos as private (see Security below), but please only upload what you are comfortable storing in a cloud service.
Location. If you grant location permission, your position is used on your device to show where you are on maps and to help fill in stop locations you choose to save. We do not track your location in the background or keep a history of your movements.
Integrations you connect. If you connect Master Tour (Eventric), the API credentials you provide are stored with your account and used solely to fetch your tour schedule on your behalf. If you view a flight card, the flight number and date are sent through our server to a flight-data provider — never your name, account, or anything else.
What we don’t collect. No advertising identifiers, no analytics or tracking SDKs, no selling of data — not on the apps and not on this website. The web app uses only the strictly-necessary cookies required to keep you signed in.
How your data is used
Solely to run the service: syncing your inventory and trips across your devices, sharing them with people you invite, generating documents (like pack PDFs) you ask for, and sending notifications you set up (such as a landing reminder for hand luggage — these are generated on your device). We don’t use your content for advertising, profiling, or training AI models.
Sharing — who can see your data
Luggage Logger is built for crews. When you share an organisation, project, or trip with someone, they can see the data inside it according to the role you give them (viewer, logger, editor, or admin) — including schedules, notes, asset details, photos, and any Wi-Fi details saved on stops. Sharing is always something you initiate; nothing is public by default, and there are no public profiles.
Where your data lives
Your data is stored with Supabase (our database, authentication, and file-storage provider), and the website is hosted on Vercel. A copy of your data is also cached on your own devices so the app works offline. Our service providers process data on our instructions and don’t use it for their own purposes. Where data is transferred outside the UK, it is protected by appropriate safeguards such as Standard Contractual Clauses.
Security
All traffic is encrypted in transit (TLS). Photos and documents live in private storage that requires authentication to access. Every database table is protected by row-level security, so the server only ever returns data your account is allowed to see. Session tokens are kept in the secure keychain on Apple devices.
Retention and deleting your data
We keep your data for as long as you have an account. You can delete individual items, photos, trips, and organisations at any time in the app.
You can delete your entire account from Settings → Account → Delete Account in the app. This permanently removes your account and your data from our database immediately, and any remaining uploaded files and backup copies are purged within 30 days. Data you placed into someone else’s shared organisation may remain with that organisation’s owner. If you can’t access the app, email us and we’ll delete your account for you.
Your rights
Under UK and EU data-protection law you have the right to access, correct, export, restrict, or erase your personal data, and to object to processing. Email luggagelogger@gmail.com and we’ll respond within one month. You also have the right to complain to the UK Information Commissioner’s Office (ico.org.uk) or your local supervisory authority.
Children
Luggage Logger is a professional tool and is not directed at children under 16. We don’t knowingly collect data from them.
Changes to this policy
If we make material changes, we’ll update this page and note the new effective date above. Significant changes will be flagged in the app.
